Before you sit through another vendor demo, ask yourself a harder question: “What’s actually not working with how you issue and manage IDs today?”
Slow enrollment. A mobile app that falls apart without a signal. No real way to verify an ID at the door. IT fielding lost-card tickets like they’re password resets. A vendor who can’t tell you where your data actually lives.
Most of that never comes up in a demo; it shows up six months in, once the pilot’s over and the whole organization is depending on it. That’s what this digital ID vendor checklist is for: seven questions worth checking off before you commit to anything new.
How to use this: Bring it into your next vendor call, RFP, or renewal conversation, and check off each question as your team works through it — it holds up whether you’re comparing three vendors or deciding whether to keep the one you have.
1. How hard is it to actually issue an ID?
- Ask to see the enrollment flow, not just the finished card.
- Can a non-technical admin design and issue a card the same day?
- Does it support bulk import for onboarding hundreds at once?
2. Does the app experience hold up?
- Ask what happens offline, or when someone gets a new phone.
- Does it support the languages and accessibility needs of your population?
3. Does it talk to what you already have?
- Ask about integrations: access control, cloud printing, your existing SIS/HR systems.
- A platform that can’t sync becomes one more system to babysit.
4. What does verification look like in practice?
- Who’s checking IDs, and how?
- A dedicated scanner or app per staff member is a real adoption barrier — ask about browser-based scanning from any device.
5. Is security and compliance more than a slide?
- Push past “We take security seriously”: ask about encryption, screenshot prevention, role-based access, activity logs.
- In education, healthcare, or regulated industries, ask about FERPA, COPPA, GDPR, PIPEDA, GLBA — and where data is hosted.
- Ask whether the vendor holds ISO 27001 certification, and if so, request to see the certificate — it’s third-party proof their information security controls are actually audited, not just claimed.
6. Does it flex across use cases?
- One use case today can become several tomorrow — employee IDs to visitor management, student IDs to emergency responder credentials.
- Can it handle both digital and physical? Issuing mobile credentials alongside printed cards from the same platform?
- Was the platform built for that, or will you be bolting on workarounds?
7. What happens after implementation?
- Who do you call when something breaks? Is support included or a paid add-on?
- A great platform with no support is a headache waiting to happen.
