How to Bulk-Archive Card Records in the ID123 ID Management System

Archiving outdated or inactive card records helps maintain a clean and organized database in the ID123 ID Management System (IDMS). This step-by-step guide explains how to bulk-archive digital ID card records directly from the Card Record dashboard. Whether you’re managing employee ID cards, student IDs, or membership cards, archiving records in bulk is fast and efficient.

Step 1: Access the Card Records Dashboard

To get started, log in to your ID123 ID Management System (IDMS) account.

  • From the left-hand navigation menu, click on Card Records.
  • Locate the digital card template you want to manage and click View Records to access its card records.

Step 2: Filter or Search Card Records (Optional)

To narrow down your selection, you can:

  • Use the search bar to locate specific users or ID numbers.
  • Apply filters such as expiration status, issuance date, or card status.
  • Sort the list by column headers to group similar records.

This optional step makes it easier to archive only the relevant card records.

Step 3: Select Records to Archive

Once you’ve identified the card records you want to archive:

  • Select individual records by checking the box next to each one.
  • To archive all records on the current page, click the checkbox at the top of the column header.

Step 4: Apply the Bulk Archive Action

After selecting your desired records:

  • Click the Bulk Action dropdown menu at the top of the table.
  • Choose Archive Records from the list.
  • Click the Apply button to initiate the action.

A confirmation message will appear at the top of the screen, indicating that your selected card records have been successfully archived.
